Privacy Policy

ASISTEACH ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our platform.

1. Information We Collect

Account information

When you create an account, we collect your name, email address, and password. If you sign up through a third-party service (e.g. Google), we receive basic profile information from that provider.

Teaching data

To provide our services, we store the data you enter about your students, including names, language levels, lesson notes, vocabulary, progress, and any other information you choose to add. This data belongs to you and is used solely to power ASISTEACH features.

Usage data

We automatically collect technical data such as your browser type, device, IP address, pages visited, and interaction patterns. This helps us improve the platform and fix issues.

Cookies

We use essential cookies to keep you logged in and remember your preferences. We do not use advertising or tracking cookies from third parties.

2. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the ASISTEACH platform
• Generate AI-powered lessons, exercises, and homework based on your student data
• Send you important service updates and notifications
• Respond to your support requests
• Analyze usage patterns to improve our product
• Ensure the security and integrity of our platform
• Review generated lessons and the requests you make to the AI, to check and improve their quality and safety

Quality review of generated lessons

A small number of authorised ASISTEACH staff can open the lessons the platform generated, the topic typed on the generation form, and the messages sent to the AI asking for a lesson to be corrected. We do this to find and fix lessons that come out broken, and for no other purpose: this content is never sold, never shared, and never used to train AI models.

Student and group names are not shown in that review — each learner appears only as an anonymous nickname with their level and language. The one limit we cannot promise around: if the AI wrote a student's name into the body of a lesson, it is part of that lesson's text.

3. AI Processing

ASISTEACH uses artificial intelligence to generate lesson content, exercises, and homework. To do this, relevant student information (such as level, target language, topics, and notes entered by the teacher) is sent to our AI providers solely to generate that content:

• Anthropic (Claude) — generates lesson, exercise, and homework text
• Google Cloud Text-to-Speech — turns the text of listening exercises into audio

In both cases:

• We do not use your data, or your students' data, to train AI models.
• Our AI providers are contractually bound by their own data processing terms and do not use the data we send for their own training purposes.
• These providers process data in the United States. Data transferred to them is protected under Standard Contractual Clauses approved by the European Commission.

Generated content (lessons, exercises, homework, audio) is returned to ASISTEACH and stored on our servers as described in Section 6.

Some lesson-building features also search third-party catalogues for illustrations and videos (Pexels and YouTube). These searches send only a topic or search term — never student information.

4. Third-Party Integrations

Google Calendar

If you choose to connect your Google account, ASISTEACH requests access to your Google Calendar so we can keep your lessons in sync with your calendar. This integration is entirely optional and can be disabled at any time.

What we access:

• Your basic Google profile (name, email) to identify the connected account
• Permission to create one dedicated calendar in your Google account, named “ASISTEACH Lessons”, and to manage the events ASISTEACH puts in it

How we use it:

• When you schedule a lesson in ASISTEACH, we create a matching event in the ASISTEACH Lessons calendar
• When you edit or cancel a lesson in ASISTEACH, we update or remove that event

We have no access to your other calendars. The permission we request is technically limited to the single calendar ASISTEACH creates, so your existing appointments are not visible to us — we cannot read, import or store them even if we wanted to.

The sync is also one-way only: information travels from ASISTEACH to Google Calendar. Events you create yourself in Google Calendar are never touched by ASISTEACH.

How to disconnect:

You can disconnect Google Calendar at any time from your ASISTEACH account settings. When you disconnect, we immediately revoke the access token and delete your stored Google credentials from our servers within 24 hours. You can also revoke access directly at myaccount.google.com/permissions.

Limited Use:

ASISTEACH's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• We do not sell your Google user data
• We do not use your Google user data for advertising
• We do not use your Google user data to train AI or machine learning models
• We do not allow humans to read your Google user data, except with your explicit consent, for security or debugging purposes, or where required by law
• We only use your Google user data to provide and improve the calendar sync feature you have enabled

5. Data Sharing & Sub-processors

We do not sell, rent, or share your personal data with third parties for marketing purposes. To operate ASISTEACH, we share data with a limited set of service providers ("sub-processors"), currently:

Where a sub-processor is located outside the EU/EEA, the transfer is protected under Standard Contractual Clauses approved by the European Commission.

We may update this list as our service evolves. If we add a new sub-processor that will process school or student data, we will notify school administrators in advance by email, with the opportunity to object.

We may also share data:

• Legal obligations — if required by law, regulation, or legal process
• Business transfers — in connection with a merger, acquisition, or sale of assets

6. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (HTTPS/TLS), encrypted storage, access controls, and regular security reviews. However, no method of transmission over the Internet is 100% secure.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide you with our services. If you delete your account, we will delete your personal data and student data within 30 days, except where we are required to retain it for legal or compliance purposes.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your data
• Export your data in a portable format
• Object to or restrict certain processing
• Withdraw consent at any time

If you believe your data has been processed unlawfully, you also have the right to lodge a complaint with your national data protection supervisory authority. In Spain, this is the Agencia Española de Protección de Datos (AEPD), www.aepd.es.

9. Student & Minor Data

ASISTEACH is built for language teachers and schools, and by design, teachers and school administrators enter information about their students — including students who are minors.

For this data, the teacher or school using ASISTEACH is the data controller: they decide what student information is collected and why. ASISTEACH acts as a data processor, meaning we store and process this data only on the instructions of the teacher or school, and only to provide the platform's features (lesson generation, scheduling, homework, billing).

Teachers and schools are responsible for:

• Having a lawful basis to collect and store information about their students, including any parental/guardian consent required under the laws of their country
• Informing parents/guardians and students, where applicable, about how student data is used within ASISTEACH

ASISTEACH does not use student data for advertising, does not sell student data, and does not use student data to train AI models (see Section 3, "AI Processing").

If you are a parent or guardian and believe a school or teacher has entered information about your child without appropriate consent, please contact us at hello@asisteach.eu and we will assist the school in resolving the matter.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through a notice on the platform. Your continued use of ASISTEACH after changes constitutes acceptance of the updated policy.
